These terms govern Bus Mum’s website, apps and tour-management service, supplied by OK LETS GO LTD. Last updated 11 October 2026.
1. Who we are
OK LETS GO LTD is registered in England and Wales, company number 17503740. Registered office: 71-75 Shelton Street, Covent Garden, London, United Kingdom, WC2H 9JQ. Contact support@busmum.com for account, billing or service questions.
2. Your workspace and account
Bus Mum is designed for business and professional tour operations. You must be at least 18 to open an account and have authority to act for any organisation you register. Keep account details accurate, protect your password and private invitation/passenger links, and tell us promptly about suspected unauthorised access. Organisation owners manage staff permissions and bus access. Removing a person from a bus does not automatically remove a separate organisation staff role.
Tour addresses and inactivity
Tour addresses such as rollingstones.busmum.com are unique and subject to availability. An active paid subscription reserves your tour address even when the tour is inactive, including until the end of a paid period when renewal is cancelled. For tours without an active paid subscription, after 90 days without recorded tour use, we send a warning to verified workspace owners and admins. If the tour remains unused for a further 30 days after the warning is sent successfully, the address becomes available to another customer. Starting or renewing an active paid subscription cancels any pending inactivity release. If paid protection ends and the tour is still inactive, we send a fresh warning and allow at least 30 days before release. Opening the tour in the admin workspace, actively using its controls, or submitting a crew stock request or travel update counts as use; passive public page views and background refreshes do not. An admin can record a return visit even while the workspace is locked. Address release disables the old tour QR pages but does not delete records or cancel recurring billing. Choose an available address and print new signs when you return. Authorised Bus Mum staff can also rename an address; printed signs must then be replaced.
3. What the service does
Passenger management and stock management are independent. Stock requests do not require a passenger assignment. A stock request records a request for your tour team; it is not a purchase from Bus Mum or a guarantee that goods will be supplied. Bus Mum does not operate transport, sell the requested goods, or employ your drivers or runners.
4. Safe operations and notifications
Drivers and transport operators remain responsible for passenger safety, physical headcounts and departure decisions. Passenger self-reports, readiness screens and notifications are supporting information. Confirm important information directly when necessary. Connectivity, device settings and third-party delivery services can delay or prevent notifications. A sent notification is not proof that somebody has read it. Never operate the app while driving.
5. Trials and recurring subscriptions
A verified admin account receives one seven-day trial when its first workspace is created, without a payment card. Creating further workspaces does not restart or extend that trial. The trial includes up to three active buses per workspace. Paid plans cost £3 per week, £10 per month or £100 per year for each active bus allowance purchased. Prices are in GBP. There are no per-person charges. The billing period and quantity shown at checkout determine your total. By completing a subscription checkout you authorise recurring payments each billing period until cancellation. The trial does not itself authorise a payment. Payment processing is provided by Stripe for OK LETS GO LTD.
6. Cancellation, changes and payment problems
An organisation owner can cancel renewal through Plan & billing and the Stripe customer portal, or contact support@busmum.com if the portal is unavailable. Cancellation normally takes effect at the end of the paid billing period. We do not normally refund unused time when you choose to cancel, but this does not affect mandatory legal rights or a refund due for our failure to provide the service. We will explain any price change before the next affected renewal so you can cancel. When the seven-day trial ends without an active paid subscription, the workspace is locked, including passenger operations, stock, shared QR pages and exports. Records are preserved. Owners can still sign in, purchase bus allowances or manage billing. Access resumes after payment is confirmed. Failed payments or an ended paid period can also lock the workspace. Cancelling billing does not delete your account or records.
7. Acceptable use and your information
Only upload information you are entitled to use and share. Tell passengers and staff how their information will be used, and provide any required privacy information. Do not upload payment-card details, passport copies, medical records or other unnecessary sensitive information in notes. Do not share another passenger’s private link, bypass access controls, send abusive or unlawful content, interfere with the service, or use it for spam. You keep ownership of your content and authorise us to process it only as needed to operate and secure Bus Mum and fulfil lawful obligations.
8. Privacy and organisation data
Our privacy policy explains account and service-data processing. A tour organisation normally controls the passenger, staff and operational records it adds; Bus Mum processes those records on its instructions. Before using the service with live third-party passenger data, the organisation must have the necessary controller–processor agreement and retention arrangements in place with us. Contact support@busmum.com to arrange these. During initial setup and testing, use fictional passenger and tour records.
9. Service availability and ending access
We aim to provide a reliable service but do not promise uninterrupted availability or error-free data. We may maintain or update the service and will give reasonable notice of planned material disruption where practicable. We may restrict access where reasonably necessary to address a security risk, unlawful use or a material breach. Where appropriate we will explain the issue and allow time to resolve it. Contact us for assistance retrieving your records or closing a workspace; do not assume cancellation automatically erases data.
10. Responsibility and legal rights
We will provide the service with reasonable care and skill. We are responsible for losses caused by our breach to the extent required by law. Nothing in these terms excludes liability for fraud, fraudulent misrepresentation, death or personal injury caused by negligence, or any liability that cannot lawfully be excluded. Nothing removes mandatory consumer or data-protection rights. Your organisation remains responsible for the accuracy of its records and its operational decisions.
11. Changes and disputes
We may update these terms as the service develops or legal requirements change. We will identify the revised date and give reasonable advance notice of material contractual changes. Changes do not retrospectively remove accrued rights. Contact support@busmum.com first so we can try to resolve a concern. These terms are governed by the law of England and Wales, with disputes heard in its courts, subject to any mandatory rights to use the law or courts of your home jurisdiction.
